Frequently Asked Questions

What is the cancellation policy?

If the quote is accepted and a reservation is confirmed, the following cancellation policy will apply:

  • Cancellations made 30 days or more before the departure date will incur no penalty.
  • Cancellations made 29 to 7 days before the departure date will result in a 50% refund.
  • No refunds will be issued for trips canceled with less than 7 days’ notice.
How long do we have if we need to make changes?

We’re happy to help with updates when we can. Minor changes may be requested up to 24 hours before your scheduled departure. Larger changes, such as adjusting your departure date or time, or extending your charter, please submit at least 72 hours in advance. All changes are subject to availability and may result in additional administrative or overtime charges.

When is payment due?

Payment in full is due 30 days prior to your scheduled departure date.

Do you require a deposit?

In most cases, we do not require a deposit. Payment in full is typically due 30 days prior to your scheduled departure date. For certain bookings, such as large events, conference shuttles, or high-value contracts, a deposit may be required. If that applies to your trip, our team will let you know upfront during the booking process.

Can I set up employee shuttle service on a daily or weekly basis?

Absolutely! We work with many businesses to provide reliable employee shuttle service on a daily, weekly, or recurring basis. Our team can help design a schedule and vehicle plan that fits your needs. To get started, give us a call at 206-632-5162 or email traxxamerica@traxx.net.

What forms of payments do you accept?

TRAXX America accepts major credit cards, including Visa, Mastercard, American Express and Discover, subject to a 3% administrative fee. Check, ACH and wire transfer are also accepted.

When do I receive the driver's information?

Typically, driver information is shared by the end of the day prior to the departure date.

Do your drivers go through a background check?

Yes. Your safety matters to us. Every driver is screened through a third-party background check process and must meet our safety and hiring standards before operating a vehicle on our behalf.

What is your safety record?

We believe transparency matters. You can view our most up-to-date safety record directly through the DOT SAFER System using our USDOT number 3680737. We encourage customers to look for a Satisfactory safety rating when comparing charter companies.

How many passengers can I fit on the bus?

We offer a variety of vehicle sizes to fit different group needs. Some of our most common options include:

  • 14-passenger mini bus
  • 23-passenger mini bus
  • 40-passenger coach
  • 52–56-passenger coach

If you’re not sure which size is right, our team is happy to help you choose the best fit based on your group size, luggage, and trip details.

How many hours can I rent the bus for in one day?

Trip length is guided by federal safety regulations. Under FMCSA rules, drivers may drive up to 10 hours in a day and be on duty for up to 15 hours total. Our team will help you plan an itinerary that fits comfortably within these limits and keeps your trip running smoothly.

Can we eat or drink on the bus, how about alcohol?

Yes! Food and non-alcoholic beverages are welcome on board. We just ask that groups help keep the bus clean and respectful for everyone. Any excessive mess or damage may result in post-trip cleaning or repair charges.

Alcohol may be permitted with advance approval. For trips in Washington State, a valid Washington State Banquet Permit is required and must be submitted before the trip begins. Additional requirements or fees may apply depending on the nature of the request.

Our team is always happy to review your plans in advance and let you know what to expect, so there are no surprises after your trip.

What Happens If someone in my group damages the bus?

We understand that accidents can happen. If any damage or excessive mess occurs during your trip, the booking customer may be responsible for related costs.

Any applicable charges are handled in accordance with our Terms & Conditions, which are reviewed as part of the booking process.

What happens if I use more time than I scheduled?

If your trip runs longer than planned, additional time may be billed after the trip is completed. We include a 15-minute grace period beyond your scheduled end time. Any time beyond that is prorated in 15-minute increments at the applicable hourly rate for your vehicle.

After your trip, we complete a standard post-trip review to reconcile actual hours and any additional charges. If extra time is needed due to circumstances outside our control—such as traffic, weather, or other unexpected delays—those additional hours may also be included in post-trip billing.

Our team is always happy to help you plan your itinerary in advance to minimize the chance of overages.

Are there any additional fees or charges I should know about?

Some trips may include additional pass-through costs such as airport or parking fees, bridge and road tolls, or park entrance fees. These are third-party charges and, if applicable, are the responsibility of the customer, even if they weren’t known at the time of booking.

We’ll always do our best to flag any expected fees in advance whenever possible.

What type of amenities does the bus have?

Amenities vary by vehicle type and model. Many of our buses offer features such as reclining seats, climate control, audio/visual systems, onboard restrooms (on select motorcoaches), power outlets, USB charging, Wi-Fi, and ADA accessibility.

If you need specific amenities, just let us know when booking and we’ll help match you with the best available vehicle.

What is the plan if the bus breaks down or there is bad weather?

Your safety is always our top priority. In the rare event of a mechanical issue, our operations team will work quickly to resolve it. If the vehicle can’t be safely returned to service in a timely manner, we’ll arrange a replacement solution to keep your trip moving.

Weather conditions typically don’t cancel service, but they can impact travel times. Our team actively monitors conditions and plans accordingly to ensure safe, reliable transportation.

Is the group responsible for the driver's meals and lodging?

If your trip requires an overnight stay due to a multi-day itinerary or driver hours-of-service regulations, the booking customer is responsible for providing appropriate lodging for the driver. Alternative arrangements can be discussed and confirmed in advance.

Our drivers receive a daily per diem to cover meals, so meals are not required. That said, if you’d like to invite your driver to dine with your group, it’s always appreciated.

Can I see the bus before my trip?

Because vehicles are assigned based on availability and scheduling, we’re not able to offer in-person tours ahead of time. Once your reservation is confirmed, you’re welcome to request photos of a similar vehicle so you know what to expect.

If you have specific requirements or concerns, just let us know when booking and we’ll do our best to accommodate them.
